RAYOMAR MANAGEMENT, INC. (Human Resource Department) respects your rights to privacy of your personal information and we want to protect your personal data safe and secure in compliance to all the requirements of all relevant privacy and protection laws, particularly in accordance with Republic Act 10173, otherwise known as the Data Privacy Act of 2012.

We shall periodically update this Notice when necessary to ensure that our practices remain compliant with the applicable laws, and are up to date with the industry trends.

WHAT WE COLLECT.

We collect and maintain different types of personal information about you being our employees, consultant, contractual and applicants, including the personal information indicated in the ff:

  • resumes and/or applications;
  • references and interview notes;
  • photographs and video;
  • letters of offer and acceptance of employment;
  • payroll information and bank account number;
  • wage and benefit information;
  • forms relating to the application for, or in respect of changes to, employee health and welfare benefits; including medical and insurance care; and
  • beneficiary, dependents and emergency contact information.

In addition to the examples listed above, personal information also includes information such as name, home address, telephone, personal email address, date of birth, employee identification number and marital status, government agency identification number and any other information necessary to the company’s business purposes, which is voluntarily disclosed in the course of an employee’s application for and employment with RAYOMAR MANAGEMENT INC. and to its subsidiaries.

As a general rule, the company collects personal information directly from you. In most circumstances where the personal information that we collect about you is held by a third party, we will obtain your permission before we seek out this information from such sources (such permission may be given directly by you, or implied from your actions).

From time to time, we may utilize the services of third parties in our business and may also receive personal information collected by those third parties in the course of the performance of their services for us or otherwise. Where this is the case, we will take reasonable steps to ensure that such third parties have represented to us that they have the right to disclose your personal information to us. Where permitted or required by applicable law or regulatory requirements, we may collect information about you without your knowledge or consent.

WHY WE COLLECT THEM.

The personal information collected is used and disclosed for our business purposes, including establishing, managing, retiring and terminating your employment relationship with Rayomar Management Inc. and its subsidiaries. Such uses include:

  • determining eligibility for initial employment, including the verification of references and qualifications;
  • administering pay and benefits;
  • processing employee work-related claims (e.g. worker compensation, insurance claims, etc.)
  • establishing training and/or development requirements;
  • conducting performance reviews and determining performance requirements;
  • assessing qualifications for a particular job or task;
  • gathering evidence for disciplinary action, or termination;
  • establishing a contact point in the event of an emergency (such as next of kin);
  • complying with applicable labor or employment status;
  • compiling directories;
  • ensuring the security of company-held information; and
  • such other purposes as are reasonably required by the company/employer.

HOW WE USE, STORE, AND RETAIN AND DESTROY

We collect and use personal information only as necessary for the purposes for which it was obtained.

We value your privacy that is why we maintain, enforce and implement organizational, physical, technical, electronic and procedural security measures that ensure the integrity, confidentiality and security of your personal information.

Your data are kept in a safe place in our office premises. We make every effort to put in place suitable precautions to safeguard its security and privacy and to prevent it from being altered, corrupted, destroyed or accessed by unauthorized parties.

Manual and hard copy data shall be in filing cabinets under lock and key; digital data in secured folder of the Company server. The data in our SERVER has a secured facilities and equipment that are protected to ensure security and confidentiality of the information. In addition, internal privacy policies are enforced to prevent unauthorized individuals from accessing, modifying, or deleting the information you have provided.

Upon submitting your personal information, you agree and understand that the information may be shared locally among our government agencies and across international boundaries where Rayomar Management Inc. transacts official business through encrypted email.

We will not keep personal data active longer that is necessary for the purpose for which they were collected. We will take all reasonable actions to destroy, or erase all data from our database and hard files if they are no longer required. We will keep your personal data while you are still in active status in the Company.

HOW YOU MAY EXERCISE YOUR RIGHTS

You have rights under the law regarding your personal data.You are afforded rights in relation to your personal information under the Data Privacy Act of 2012, including the right to access, correction, and objection to the processing, including the right to lodge a complaint with the National Privacy Commission.

Updating and Access to Your Personal Information

It is important that the information contained in our records is both accurate and current. If your personal information happens to change during the course of your employment, please keep us informed of such changes.

You can also ask to see the personal information that we hold about you. If you want to review, verify or correct your personal information, please contact the office of our Privacy Officer using the contact information set out below. Please note that any such communication must be in writing.

Your right to access the personal information that we hold about you is not absolute. There are instances where applicable law or regulatory requirements allow or require us to refuse to provide some or all of the personal information that we hold about you. In addition, the personal information may have been destroyed, erased or made anonymous in accordance with our record retention obligations and practices.

In the event that we cannot provide you with access to your personal information, we will endeavor to inform you of the reasons why, subject to any legal or regulatory restrictions.
